Privacy Notice — Business Outreach
How we handle business contact details when we introduce Vion AI by email. Prepared under Articles 13 and 14 of the GDPR / UK GDPR. Last updated: 31 August 2026.
1. Who is responsible
Userex Design Studio, trading as "Vion AI", is the controller for the processing described here.

This notice covers outreach to businesses only. Data of people who sign up for or use the Vion AI platform is covered by our Privacy Policy.
2. When we tell you
We do not collect this information from you. It comes from public sources, so we inform you at the moment of first contact: every message we send links to this page.
3. What we process
- From the public map listing: business name, street address, telephone number, website address, sector, rating, review count and the listing URL. The telephone number is stored but never called, never texted and never used for marketing.
- Corporate email address: role addresses such as info@, sales@ or reservations@ that the business publishes openly on its own website. Addresses containing a person's name are rejected automatically, and the address must match the website's own domain.
- Observations about the website: whether it has live chat, a booking step, a contact form or product pages.
- Sending records: date sent, delivery status, bounce notices, and any objection or opt-out you send.
- Correspondence: if you reply, the content of your reply, your sending address and anything in your signature.
4. Where it comes from
- Public business listings on Google Maps, reached through a third-party search API (Serper, United States). Only a city and sector query is sent to that service; nothing about you.
- Your own website: the home page and up to eight contact or booking pages are read for a published corporate address and the observations above.
- Our own mailbox, which we read to detect replies and undeliverable messages.
We do not buy or acquire marketing lists from third parties, and we do not sell your data.
5. Why, and on what legal basis
Purpose: introducing Vion AI to your business, continuing the conversation if you reply, and honouring any objection you make.
Legal basis: our legitimate interests under Article 6(1)(f) — direct marketing to businesses, as recognised in Recital 47. Our interest is finding businesses that may want the product; we balance it by contacting published corporate addresses only, keeping volume low, sending at most three messages, and stopping immediately on request.
Who we exclude: our filters remove regulated professionals, associations, foundations, cooperatives, public bodies and schools before any message is queued. We also do not send to Germany, Austria, Italy or Denmark at all.
6. Who receives it
- Resend, Inc. (United States) — email delivery, using Amazon SES.
- Google LLC — record storage (Firebase) and the mailbox we send from.
- Vercel Inc. (United States) — application hosting.
These providers act on our instructions. Their servers are outside the UK and EEA, so this involves an international transfer. No adequacy decision covers this arrangement automatically; you can ask us at info@getvion.com what safeguards apply before relying on them.
7. How long we keep it
Business records: at most 24 months after the last contact, then deleted if there has been no reply.
Opt-out list: kept indefinitely, for the sole purpose of never contacting you again. Deleting it would cause the mail to start over.
Undeliverable addresses: kept so that we do not retry them.
Sending records: kept for three years as evidence of compliance.
8. Your right to object — and to stop the mail
You have an absolute right under Article 21(2) to object to direct marketing. You do not need to give a reason, and we must stop.
Every message carries a one-click link that does this immediately, free of charge and without any login. You can also simply reply and ask, or write to info@getvion.com.
9. Your other rights
You may ask us for a copy of the data we hold about you, ask us to correct or erase it, ask us to restrict how we use it, and ask for it in a portable form. Where our basis is legitimate interests, you may object to the processing generally as well.
You also have the right to complain to a supervisory authority — in the UK, the Information Commissioner's Office; in the EEA, the authority in your country.

11. Changes
We update this notice when our processing or the law changes. The current version is always on this page, with the date of the last update at the top.
